Description:The Reception Coordinator provides clerical support to the Chief of Staff and the staff at 2Lafayette Street in coverage of the front desk, including greeting visitors and answering the main phone line for the agency. The Reception Coordinator also supports all department teams and participates in some basic office operations.
Responsibilities:Essential Job Functions:

• Answer main telephone line for the agency
• Execute Client Response Protocols as needed at front desk reception
• Maintain multiple conference room calendars and scheduling at 2 Lafayette location, and posts daily usage calendar outside each conference room
• Liaise with both internal departments and staff and external constituents to achieve above duties
• Assist with preparations for meetings including, assembling briefing materials and making catering arrangements
• Track and reconcile expenditures for Chief of Staff .
• Assist Chief of Staff as needed to manage administrative and operating functions
• Provide back-up telephone coverage and screening, and administrative follow-up for the Executive Staff, under the guidance of the Executive Assistant to Executive Administration.
• Assist other departments at 2 Lafayette Street with mailings, data entry, and other tasks as time permits
• Special help as directed for Development and Marketing, via Chief of Staff
• Submit and file select payment requests and follow up with Accounts Payable as needed Act as back up for other Executive Assistants as needed
• Complete special projects as assigned
Qualifications:Required Knowledge and Skills:

• Must possess the ability to effectively multi-task with competing priorities and deadlines in a fast paced environment.
• Must have excellent organizational, time management and follow-up skills.
• Exemplary customer service and interpersonal skills are essential. Professional and friendly demeanor.
• Must have demonstrated ability to work with sensitive information.
• Must be flexible and detail oriented.
• Proficiency with Microsoft Word, PowerPoint, Excel, Outlook, and Acrobat Adobe are required.
• Must have basic mathematical computations and record keeping skills.
• Must have excellent verbal and written communications skills.
• Excellent typing skills are essential.
• Must exercise tact, discretion, and independent and sound judgment.
• A strong understanding of organizational structure and culture is required.

Required Education:

At least 2 years of post-secondary education or secretarial/business school certificate is required, Bachelor’s Degree preferred

Required Experience:

• 1-2 years of professional experience in an administrative support position
• Advanced skills in Microsoft Office programs including Outlook, Word, and Excel
• Experience with PowerPoint preferred
• Experience with Internet Research


Desired Knowledge and Skills:
• Bilingual capability, preferably Spanish
