|Responsibilities:|| Conceive and execute income generating strategies in partnership with Chief Development Officer and other senior department staff for fundraising events, including reaching existing and new donor bases, peer-to-peer solicitations, ticket sale strategies, sponsorship and underwriting solicitation, and ancillary fundraising activities. |
Manage the production of all Safe Horizon fundraising events, including event participants and honorees, theme selection, venue, artistic elements, catering, data management and gift processing, list selection, mailings, response tracking, production of printed materials, volunteer coordination, and event logistics (facilities, transportation, contracts, seating charts, etc.). Ensure that events and related materials deliver a compelling message about Safe Horizon's mission and goals. The Director, Special Events works with the Safe Horizon Junior Council to create and produce an annual fundraising event as well as service events, and also manages several cultivation events each year. The aim will be to develop new or reimagined approaches.
Collaborate with other Development staff in the implementation of smaller events; for example, in Board members homes, at program sites, for groups of prospective donors; smaller cultivation events, etc.
Manage the Boards event committee activities, including identification, stewardship and cultivation of members, and oversight and administration of fundraising activities undertaken by the committee(s). Ensure committee members and volunteers are actively and constructively engaged and maintain a positive experience in working with Safe Horizon. Encourage opportunities for them to learn more about Safe Horizon's mission and programs.
|Qualifications:|| Maintain exemplary relationships with vendors, corporate and local business partners, caterers, other vendors, and in-kind donors for fundraising events. |
Manages all aspects of events, including: researching viable sponsors and volunteer leadership, income and expense tracking, event timelines and donor list management, invitation production and mailing, vendor management and follow up phone/email requests to prospective supporters.
Supervises timely preparation, clearance, and production of printed event materials, i.e., pre-solicitation letters, invitations, programs, auction catalogues, signage, etc.
Serves as liaison with other departments, ensuring all event collateral goes through copy clearance and that the correct sign-offs are secured.
Maintains and coordinates all event donor lists and mailing lists.
Coordinates the distribution of event information on Safe Horizon website, including providing text and securing proper authorizations;
Assists with the monitoring of event budgets, processing of check requests, purchase orders, contract clearance, income reconciliation, and other administrative needs.
Track revenue for each event, maintaining the financial reports and income charts.
Maintains guest lists, seating requests, donor follow up for seating diagrams, compiling of escort and place cards.
Coordinates event logistics and volunteer management. Handles on-site seating including: guest lists, venue set-up of registration and ensure proper placement of tables and table counts and guest check-in.
Coordinates event auction items, drafting text and production of catalogue, shipping of items and coordination of deliveries to donors post event. Closeout of all auction items including securing payments.
Manages day-of event operations, as needed (transportation of gift bags, programs or printed material; place cards; lighting, sound, set-up, security, etc.).
Assists the Chief Development Officer on-site during events, supervising activities as needed.
Works with the Marketing & Communications Department to develop media plans for maximizing event impact; event material content in keeping with agency branding; event-related copy for website and social media; online fundraising pages for events.
Participate, as appropriate, in meetings with the CEO, senior management team, Board Committee and consultants.
Sustain a team-oriented, supportive environment that maintains high standards, and encourages creativity, collaboration and professional growth.
Perform other duties or special project as required.
Bachelor's degree and 2+ years of successful event management experience organizing large fundraising events in the nonprofit sector; or a combination of education and experience.
Demonstrated leadership skills with proven track record of ability to multi-task, stay organized, problem-solve and manage time when facing multiple priorities with competing time and resource needs.
Excellent interpersonal, cross-cultural, and communication skills, both oral and written, and awareness of social media platforms.
Courteous and ability to interact with high level donors, Board members, and staff.
Strong ability to read and interpret documents and write routine correspondence.
Excellent customer service skills and demonstrated ability to respond to customer requests in a timely and courteous manner.
Must have strong knowledge and background in Microsoft Office Suite; development software; internet software; database software and contact management systems (i.e., Raisers Edge competency desirable).
Highly self-motivated, detail-oriented, able to juggle multiple projects, set priorities, trouble-shoot and meet deadlines.
Skilled in thinking strategically and creatively about ways of building relationships with new and existing donors.
A strong marketing and mission-oriented sense to present the agency in print and other mediums and through events in inspiring and engaging ways.
A roll-up-the-sleeves, can-do approach to tasks both large and small.
Experience in print and graphics production
A creative team player with the ability to inspire, motivate and work collaboratively; flexibility and a positive attitude required.
Must be available to work evenings and occasional weekends particularly prior to the key fundraising events.
Able to travel within the five boroughs of New York City
Capable of lifting up to 25 pounds of equipment or materials and standing for prolonged periods during events.
