Description:: Safe Horizon, Inc.’s Domestic Violence Shelters and Hotlines Department offers a comprehensive range of services to domestic violence survivors. These services include the provision of safe and secure shelter, counseling, advocacy, intervention, and support to meet the needs of shelter residents and their families.

Responsibilities:The Program Assistant role is essential to the operations of the Domestic Violence Shelters (90%) and Hotlines (10%)
Department. The Program Assistant’s functions include but are not limited to the following:

Administrative
• Coordinate the collection of submissions from 9 shelters (inclusive of data, surveys, feedback, etc.)
• Maintain the Senior Vice President’s calendar.
• Schedule departmental meetings as requested and set-up conference rooms for these meetings.
• Update and disseminate monthly calendars and other routine submission templates and materials to all 9 shelters.
• Coordinate efforts for donation requests made to, and reports to the Baby Buggy program by all 9 shelters.
• Coordinate and documenting receipt as well as distribution of donations to all 9 shelters.
• Receive, sorting, and distributing mail.
• Relief the agency’s front desk receptionist as needed.
• Spearhead efforts to maintain and improve the departmental filing system.
• Assist with copying, faxing, and document packet creation as requested.
• Conduct site audits on related program paperwork completion procedures and policies
• Collaborate with the Coordinator to plan, design, implement and evaluate administrative training sessions for Shelter and Hotline Program Assistant staff members on a routine basis.
• Other tasks as assigned.

Operations
• Support the Administrative Director to monitor each Shelter’s OTPS accounts.
• Receive, review for accuracy and forward the following shelter submissions to the Administrative Director: Metro card reconciliations, food voucher reconciliations, payment requests, IST service requests, purchase requisitions, and other related administrative paperwork.
• Ensure the timely submission of the abovementioned paperwork to appropriate agency units.

Communication
• Serve as a liaison between the DV Shelters and Hotlines Department and other Safe Horizon Departments.
• Serve as a primary point of contact for each of the 9 shelters and the Hotlines and Project Safe Programs.


Personnel
• Coordinate the submission and approval of salary proposals and Personnel Action Forms
• Ensure the accurate and complete submission of personnel forms from the Shelters and Hotlines
• Update organizational charts as needed to reflect any changes in staffing.
• Disseminate personnel related information to the shelters as needed.
